How we work

Our process in 4 steps

  1. No-obligation quote

Send us the document you want translated into Czech. You receive a competitive quote within 1 hour on working days. Short lines, one dedicated project manager who is there for you.

  2. Assigning a translator

One of our specialist Czech translators gets to work. For certified translations, a professional translator who issues a certified statement of accuracy; for business, technical, legal or medical texts, a specialist from that field.

  3. Translation, QA and revision

Once the experienced Czech translator has completed the text, a second specialist carries out a thorough quality check and revision.

  4. Delivery

You receive the Czech translation digitally by email, in the same layout as the original. Certified translations are also sent by registered post where a hard copy is required.

Certified or standard? How to choose the right Czech translation

  • Choose certified

When an authority requires an official, certified translation: the Home Office, courts, notaries, registrars or a foreign government. Escalated to notarisation or FCDO apostille where needed.

  • Choose standard

For business publication, websites, marketing and internal documentation. Faster and without certification, with the same specialist translator.

Not sure? Send your document and we will advise which form the receiving authority expects.

What non-native translators and machine translation miss in Czech

Many teams speak good Czech and AI tools translate in seconds. Yet in business, legal and medical Czech texts, non-native translators and machine translation make the kind of mistakes that cost you credibility or legal validity. A few examples we prevent:

  • Diacritics dropped

    Voorbeeld:

"rizeni" without the háček and long vowels changes meaning: 'řízení' (control, management) is not the same word as a stripped 'rizeni', which is simply not correct Czech.

    Onze aanpak:

Our translators and QA layer preserve the full set of diacritics (č, ř, š, ž, ě, ů and the long vowels) right through to the final layout.

  • Cases ignored

    Voorbeeld:

Czech has seven grammatical cases; carrying English sentence structure across word for word produces grammatically wrong endings.

    Onze aanpak:

A native translator restructures the sentence to Czech case and word order, rather than translating word for word.

  • Spoken register in official documents

    Voorbeeld:

Obecná čeština (spoken Czech) in a contract or certificate reads as informal and out of place to the Czech reader.

    Onze aanpak:

For official and business documents we deliver formal written Czech (spisovná čeština) as standard.

  • Czech and Slovak confused

    Voorbeeld:

Because the two languages largely understand one another, they are sometimes treated as interchangeable — to authorities they are two distinct languages.

    Onze aanpak:

We confirm per project whether you need Czech (cs) or Slovak (sk) and never translate them as a single language.

Wereldwijde dekking

Waar Czech wordt gesproken

Czech is a West Slavic language written almost exclusively in Czechia, with a single written standard. The distinction that matters is not region but register: formal written Czech (spisovná čeština) belongs in contracts, deeds and reporting, while spoken Czech (obecná čeština) reads as out of place there. We match register and terminology to the purpose of your document and confirm that choice up front in the quote.

What is the difference between Czech and Slovak?
They are two distinct standard languages. Czech and Slovak are closely related West Slavic languages with around 95% mutual intelligibility in speech, but since the dissolution of Czechoslovakia in 1993 they have had their own ISO codes (cs and sk), their own regulators and their own spelling standards. We never translate them as a single language; to authorities the distinction is binding. Tell us at the request stage which of the two you need and we will match the translator accordingly.
Which variant of Czech does Ecrivus deliver by default?
Formal written Czech, spisovná čeština, in line with the norm of the Institute of the Czech Language. For business and legal documents this is the only applicable standard. We use the informal spoken register (obecná čeština) only when you specifically ask for dialogue, subtitling or a marketing tone. We confirm the variant in the quote.
How does a Czech translation agency certify a translation for official use in the UK?
The UK has no sworn-translator institute, so there is no "sworn translator" as a legal office here. For official acceptance we provide certified translation: a signed and dated statement of accuracy from the translator or the agency, with our contact details. Where a body asks for more, this can be escalated to notarisation by a solicitor or notary public, or to an apostille or legalisation through the Foreign, Commonwealth and Development Office (FCDO). We confirm in the quote which level your receiving authority requires.
Does a Czech document need an apostille for use in the UK?
Often, yes. Czechia has been a party to the Hague Apostille Convention (1961) since 1999. Official Czech documents — birth certificates, marriage certificates, court judgments and notarial deeds — are legalised for UK use with an apostille issued by the competent Czech authority. For a Czech translation produced in the UK, certification with a statement of accuracy is the usual first step, with notarisation or FCDO legalisation added where the receiving body requires it. We confirm the right route per document type in the quote.
What document types are most commonly translated into or from Czech?
Common cases are automotive and quality documentation, supply agreements, personal certificates (birth and marriage), court documents, annual reports for parent-subsidiary groups, and pharmaceutical leaflets and SmPCs. UK-specific cases we handle often are Home Office and UKVI immigration documents, university admissions assessed by UK ENIC, HMCTS court documents and Companies House extracts. We confirm the approach and any certification per document in the quote.
How does Ecrivus verify the quality of a Czech translation?
We combine native specialist translators with a structured QA layer: a terminology list, a style guide and a second review where the legal field, risk profile or volume requires it. We check the full set of diacritics and the correctness of the case endings. CAT tools (Trados, memoQ, Phrase TMS) keep terminology consistent across volume and repeated content, and a translation memory keeps follow-up work aligned and lowers the cost over time.
Why choose a Czech translation agency instead of finding a freelance translator yourself?
A Czech translation agency takes the coordination off your hands. We select the specialist who fits your document and sector, arrange certification, notarisation or legalisation where an authority requires it, and have the work checked by a second reviewer — with attention to diacritics and case endings. You keep one point of contact for register, terminology, scheduling and delivery, all under a single quote. A skilled freelance translator does excellent work too; the difference an agency adds is bringing those moving parts together so you are not managing them separately.
