How we work

Our process in 4 steps

  1. No-obligation quote

Send us the document you want translated into Spanish. You receive a competitive quote within 1 hour on working days. Short lines, one dedicated project manager who is there for you.

  2. Assigning a translator

One of our specialist Spanish translators gets to work. For certified translations, a professional translator who issues a certified statement of accuracy; for business, technical, legal or medical texts, a specialist from that field.

  3. Translation, QA and revision

Once the experienced Spanish translator has completed the text, a second specialist carries out a thorough quality check and revision.

  4. Delivery

You receive the Spanish translation digitally by email, in the same layout as the original. Certified translations are also sent by registered post where a hard copy is required.

Certified or standard? How to choose the right Spanish translation

  • Choose certified

When an authority requires an official, certified translation: the Home Office, courts, notaries, registrars or a foreign government. Escalated to notarisation or FCDO apostille where needed.

  • Choose standard

For business publication, websites, marketing and internal documentation. Faster and without certification, with the same specialist translator.

Not sure? Send your document and we will advise which form the receiving authority expects.

What non-native translators and machine translation miss in Spanish

Many teams speak good Spanish and AI tools translate in seconds. Yet in business, legal and medical Spanish texts, non-native translators and machine translation make the kind of mistakes that cost you credibility or legal validity. A few examples we prevent:

  • Mixing European and Latin American Spanish

    Voorbeeld:

"Coche" (Spain) against "carro" (Mexico), "ordenador" against "computadora", or vosotros against ustedes within a single text — it reads immediately as the wrong variant to the intended reader.

    Onze aanpak:

Per project we confirm up front which variant (es-ES or a specific LatAm country) suits your target market, and hold to it consistently.

  • False friends

    Voorbeeld:

"Embarazada" means pregnant, not embarrassed. "Éxito" means success, not exit. "Carta" is a letter, not a card. "Sensible" means sensitive, not sensible.

    Onze aanpak:

A native translator with a per-project terminology list; known traps are checked at the review stage.

  • Form of address and register (tú / usted / vos)

    Voorbeeld:

Marketing copy that uses a breezy "tú" in Spain can come across as impolite in a formal LatAm context, while voseo (vos) reads as alienating outside Argentina.

    Onze aanpak:

We match the form of address and register to the target country, audience and document type, and confirm that choice in the quote.

  • False legal equivalence

    Voorbeeld:

A Dutch "notariële akte" is not automatically an "escritura pública", and roles such as "director" or "authorised representative" each carry their own definition in the Spanish, Mexican or Argentinian legal system.

    Onze aanpak:

Per project we match role and office titles and legal concepts to the legal system of your target country, working with your legal adviser where needed.

Wereldwijde dekking

Waar Spanish wordt gesproken

Spanish is not a single market. A contract for a Mexican counterparty calls for different terminology than a transcript for a Spanish university, and wording that reads as natural in Madrid can read as odd, or simply wrong, in Buenos Aires. The gap between European Spanish and Latin American Spanish is not only vocabulary (coche versus carro); it runs through verb forms, forms of address (tú, vosotros, vos, usted) and legal terminology. We match terminology, register and variant to the country where your document will be read, and confirm that choice up front in the quote.

Which variant of Spanish does Ecrivus deliver by default?
We recommend European Spanish (es-ES, RAE conventions) by default for the Spanish market and EU contexts. Latin American Spanish (es-419), or a specific country such as Mexico (es-MX) or Argentina (es-AR), is delivered for LatAm target markets. Mixing the two variants in one document — coche against carro, vosotros against ustedes — reads as the wrong variant to your reader, so we confirm the variant in the quote based on your target country and audience and hold to it throughout.
Does the UK have sworn translators, and how do you certify a Spanish translation?
The UK has no sworn-translator institute, so there is no "sworn translator" as a legal office here. For official acceptance we provide certified translation: a signed and dated statement of accuracy from the translator or the agency, with our contact details. Where a body asks for more, this can be escalated to notarisation by a solicitor or notary public, or to an apostille or legalisation through the Foreign, Commonwealth and Development Office (FCDO). For documents intended for Spain, the official translator there is appointed as a traductor-intérprete jurado by the Ministerio de Asuntos Exteriores; we coordinate the route your receiving authority requires and confirm it in the quote.
What is the difference between European and Latin American Spanish when translating?
The difference runs through vocabulary, form of address and legal terminology. European Spanish (es-ES) uses vosotros and words such as coche and ordenador; Latin American Spanish uses ustedes and, for example, carro and computadora, with further country-level differences such as the Argentinian voseo. For official documents the legal terminology also varies by legal system. We choose the variant that fits your target market and confirm it in the quote so the text reads as native to its intended audience.
What document types are most commonly translated into or from Spanish?
Common document types include contracts and distribution agreements, annual reports, technical manuals, personal documents (birth certificates, diplomas and transcripts, company extracts), notarial deeds (escrituras) and commercial correspondence. UK-specific cases we handle often are Home Office and UKVI immigration documents, university admissions assessed by UK ENIC, HMCTS court documents and Companies House extracts for Spanish NIE or registration procedures. We confirm the approach and any certification per document in the quote.
How quickly will I receive a quote, and what about the lead time?
On working days you receive a quote within 1 hour. The lead time for the translation itself depends on document type, volume, language pair, the chosen Spanish variant and any required certification, and is confirmed in the quote. For tight deadlines we confirm a workable rush schedule up front rather than promising a fixed turnaround.
How does Ecrivus verify the quality of a Spanish translation?
We combine native specialist translators with a structured QA layer: a terminology list, a style guide and a second review where the legal field, risk profile or volume requires it. CAT tools (Trados, memoQ, Phrase TMS) keep terminology and the chosen variant consistent across volume and repeated content, and a translation memory keeps follow-up work aligned and lowers the cost over time.
What if I need a legal document translated into Spanish?
For legal Spanish translation — contracts, escrituras, judgments, articles of association, notarial deeds — we pair you with a translator who has a legal background and match terminology to the Spanish, Mexican or Argentinian legal system as the case requires. Our legal-translation page goes deeper into certification, the closing statement of accuracy and the differences between Spanish, Mexican and Argentinian civil law. See [legal translation](/en/services/legal-translation/).
Why choose a Spanish translation agency instead of finding a freelance translator yourself?
A Spanish translation agency takes the coordination off your hands. We select the native specialist who fits your document, sector and target market, decide whether you need European or Latin American Spanish, arrange certification, notarisation or legalisation where an authority requires it, and have the work checked by a second reviewer. You keep one point of contact for variant, terminology, scheduling and delivery, all under a single quote. A skilled freelance translator does excellent work too; the difference an agency adds is bringing those moving parts together so you are not managing them separately.
