How we work

Our process in 4 steps

  1. No-obligation quote

Send us the document you want translated into Dutch. You receive a competitive quote within 1 hour on working days. Short lines, one dedicated project manager who is there for you.

  2. Assigning a translator

One of our specialist Dutch translators gets to work. For certified translations, a professional translator who issues a certified statement of accuracy; for business, technical, legal or medical texts, a specialist from that field.

  3. Translation, QA and revision

Once the experienced Dutch translator has completed the text, a second specialist carries out a thorough quality check and revision.

  4. Delivery

You receive the Dutch translation digitally by email, in the same layout as the original. Certified translations are also sent by registered post where a hard copy is required.

Certified or standard? How to choose the right Dutch translation

  • Choose certified

When an authority requires an official, certified translation: the Home Office, courts, notaries, registrars or a foreign government. Escalated to notarisation or FCDO apostille where needed.

  • Choose standard

For business publication, websites, marketing and internal documentation. Faster and without certification, with the same specialist translator.

Not sure? Send your document and we will advise which form the receiving authority expects.

What non-native translators and machine translation miss in Dutch

Many teams speak good Dutch and AI tools translate in seconds. Yet in business, legal and medical Dutch texts, non-native translators and machine translation make the kind of mistakes that cost you credibility or legal validity. A few examples we prevent:

  • Mixing nl-NL and nl-BE

    Voorbeeld:

Flemish lexicon in a document for a Dutch authority, or "pinpas" in a Flemish text where "Bancontact" belongs — it reads as a text written for the wrong audience.

    Onze aanpak:

We confirm per project whether you need Standard Dutch or Flemish Dutch, and match lexicon and register accordingly.

  • False legal equivalence between NL and BE

    Voorbeeld:

"Officier van justitie" is wrong in a Belgian context — there the role is "procureur des Konings" — and the "vrederechter" has no exact equivalent in the Netherlands.

    Onze aanpak:

We match role and office titles to the legal system of the Netherlands or Belgium, working with your legal adviser where needed.

  • Literal translation from English

    Voorbeeld:

Anglicisms such as "controleren" for "to control" (where "beheersen" is meant), or English sentence structure that reads as stiff and unnatural in Dutch.

    Onze aanpak:

A native translator rewrites for idiomatic Dutch that fits the register your reader expects.

  • Spelling outside the Groene Boekje

    Voorbeeld:

Outdated or inconsistent spelling (the linking -n, compound words, English loanwords) that departs from the Woordenlijst Nederlandse Taal.

    Onze aanpak:

We apply the Taalunie spelling consistently and hold to it with a terminology list and CAT tooling.

Wereldwijde dekking

Waar Dutch wordt gesproken

Dutch is not a single market. A contract for a Flemish counterparty calls for different lexicon and legal terminology than the same document for an authority in the Netherlands, and wording that reads as natural in Amsterdam can sound formal or out of place in Antwerp. We match word choice, terminology and register to the language area where your document will be read, and confirm that choice up front in the quote.

Which variant of Dutch does Ecrivus deliver by default?
We deliver Standard Dutch (nl-NL) by default, following the Nederlandse Taalunie (the Woordenlijst Nederlandse Taal, the Groene Boekje). For work aimed at Flanders we deliver Flemish Dutch (nl-BE) with attention to regional lexicon and legal terminology. Both share the same spelling, so the difference is in word choice and register rather than how words are spelled. We confirm the variant in the quote based on your audience.
How do you certify a Dutch translation for official use?
For official acceptance we provide certified translation: a signed and dated statement of accuracy from the translator or the agency, with our contact details. The UK has no sworn-translator institute, so there is no "sworn translator" as a legal office here. Where a body asks for more, certification can be escalated to notarisation by a solicitor or notary public, or to an apostille or legalisation through the Foreign, Commonwealth and Development Office (FCDO). For documents going to Dutch or Belgian authorities we arrange certification matched to what the receiving authority requires, and confirm the level in the quote. See [GOV.UK — Get a document legalised](https://www.gov.uk/get-document-legalised).
Does Ecrivus translate foreign documents into Dutch as well?
Yes. Many projects run in exactly that direction: a foreign certificate, diploma or contract that needs to be recognised in the Netherlands or Flanders. As a Dutch translation agency we translate from 225+ languages into Dutch, certified where a body such as the IND, a municipality or the civil-law notariat requires a signed statement of accuracy.
What is the difference between Dutch and Flemish in a translation?
Both follow the same Taalunie spelling, so the difference is not in how words are written but in lexicon and register. Flemish uses words such as kotmadam and kuisen where the Netherlands uses hospita and schoonmaken, and the legal terminology differs (procureur des Konings versus officier van justitie). We match this to your audience and confirm the variant in the quote.
Which professional bodies do you work with for Dutch translation?
We work with native specialist translators and reference the recognised UK professional bodies — the ITI (Institute of Translation and Interpreting), the CIOL (Chartered Institute of Linguists) and, for interpreting, the NRPSI (National Register of Public Service Interpreters). These are bodies of reference for the profession; we name them so you can see the standard the work is held to.
How quickly will I receive a quote, and what about the lead time?
On working days you receive a quote within 1 hour. The lead time for the translation itself depends on document type, volume, language pair and any required certification, and is confirmed in the quote. For tight deadlines we confirm a workable rush schedule up front rather than promising a fixed turnaround.
How does Ecrivus verify the quality of a Dutch translation?
We combine native specialist translators with a structured QA layer: a terminology list, a style guide and a second review where the legal field, risk profile or volume requires it. CAT tools (Trados, memoQ, Phrase TMS) keep terminology consistent across volume and repeated content, including between nl-NL and nl-BE, and a translation memory keeps follow-up work aligned and lowers the cost over time.
Why choose a Dutch translation agency instead of finding a freelance translator yourself?
A Dutch translation agency takes the coordination off your hands. We select the specialist who fits your document and sector, choose Standard Dutch or Flemish to match your audience, arrange certification, notarisation or legalisation where an authority requires it, and have the work checked by a second reviewer. You keep one point of contact for variant, terminology, scheduling and delivery, all under a single quote. A skilled freelance translator does excellent work too; the difference an agency adds is bringing those moving parts together so you are not managing them separately.
